Policies & Procedures

The parameters below are designed to ensure the resources of the Special Events Office are utilized as efficiently as possible.

Deadlines

Please submit your request fifteen business days prior to the day of the event. All orders and event details must be finalized ten business days before the event to ensure the availability of all requested items and services.

Limitations on Special Events Assistance

Special Events support is available to events held at the law school. Assistance of Texas Law events held offsite or after normal business hours (8 a.m. to 5 p.m. Monday through Friday) will be considered on a case-by-case basis. Our event professionals will assist with your non-reoccurring events for groups of 40 attendees or more. If your group has fewer than 40 attendees or needs a simple catering order where the Special Events house account is not needed, please see Planning Your Own Event.

Please check with Special Events for date availability before planning your event. In order to provide the highest quality of service, the Special Events Office will be able to execute two morning, three lunch, and two afternoon events per day. At times of major law school events, or when multiple events are already scheduled, services other than room reservation may not be available.

Parking

Contact the Special Events Office to discuss any special parking needs. All parking requests must be submitted at least two weeks in advance to be approved by Parking and Transportation. A charge will be assessed for this service. Please include a 10-digit IDT account number to charge when making the request.

Forms of Payment

All orders for catering, furniture, flowers, etc. are made using a direct bill house account.
